Getting started
From signup to your first automated follow-up in about ten minutes. You'll need admin access to your QuickBooks Online company.
1. Create your account
Sign up with your business name and email — no card needed. Your 14-day trial starts immediately and includes everything.
2. Connect QuickBooks
- From the dashboard, click Connect to QuickBooks.
- Log in with your Intuit account and choose the company to connect.
- Approve access — we ask for accounting scope only, and we only ever read estimates and customers, and update an estimate's status when your customer accepts it.
Multi-company? Each connected QuickBooks company syncs separately, and accepts are always written back to the company the estimate came from.
3. Watch your estimates sync
Your estimates appear on the Estimates page within seconds. We keep them fresh two ways: QuickBooks notifies us the moment an estimate changes (webhooks), and we do a full sweep every hour as a backstop. You can also force a sync any time with the ↻ Sync from QuickBooks button.
Each estimate shows its live QuickBooks status:
| Status | Meaning | Do we chase it? |
|---|---|---|
| Pending | Sent, awaiting the customer's decision | Yes |
| Accepted | Customer said yes | No — chasing stops instantly |
| Rejected | Customer declined | No |
| Closed / Converted | Invoiced or manually closed | No |
4. Set your sending name
Go to Settings → Sender and set the name your reminders come from, so they land in inboxes looking like they're from your business. Reminders are sent in your business name from our shared, fully-verified sending domain. Sending from your own custom domain (DKIM) is coming soon.
5. Turn on the default reminder schedule
Settings → Reminder rules ships with a proven default cadence: a friendly nudge 3 days after the estimate goes out, a second at 7 days, and a final reminder the day before it expires. Edit, reorder or rewrite them freely — see the reminders guide.
That's it. From now on every Pending estimate is chased automatically until it's accepted, declined or expires. Track the funnel — sent → viewed → accepted — on your dashboard.
