QuickBooks Estimates Not Syncing? Work Through These Four Checks

Estimates in QuickBooks, nothing in the follow-up queue. Four checks, in order — the answer is nearly always in the first two.

The estimates are definitely there in QuickBooks. Nothing is coming through. Here's the order to check.

1. What status is the estimate?

Estimates that are closed, accepted or rejected are intentionally not chased. Open the estimate in QuickBooks Online and confirm it's still pending — that's the only state worth following up.

2. Is the QuickBooks connection still live?

Connections drop when the authorising user's role changes, they leave the business, or the app is disconnected in QuickBooks' apps screen. Reconnect from settings; nothing is lost.

3. Correct company file?

QuickBooks Online supports multiple companies. Estimates raised in a company you haven't connected will never appear. Verify which company is connected.

4. Allow a sync cycle

Syncing is periodic, not instant. An estimate created minutes ago may just not have been collected yet.

Confirm the authorising user can view estimates in QuickBooks themselves — a restricted role can connect fine but return nothing, which looks exactly like a broken sync.
